1. General Refund Policy

PATHSHALA THE ICONIC SCHOOL has established this refund policy to ensure clarity and fairness in all fee-related transactions. Please read this policy carefully before making any payments.

2. Admission Fee Refund

2.1 Admission Fee

  • Admission fees are generally non-refundable once the admission process is completed and the seat is confirmed.
  • If admission is cancelled before the commencement of the academic session, 50% of the admission fee may be refunded.
  • No refund will be processed if cancellation occurs after the commencement of classes.

2.2 Security Deposit

  • Security deposits will be refunded in full upon successful completion of the academic program.
  • Deductions may be made for any outstanding dues or damages to school property.
  • Refund processing may take 30-60 days after the final settlement of accounts.

3. Tuition Fee Refund

3.1 Monthly Fee Payment

  • Monthly tuition fees paid in advance are refundable if withdrawal occurs before the 10th of the respective month.
  • No refund will be processed for fees paid after the 10th of any month.
  • Partial month attendance will not qualify for partial refunds.

3.2 Quarterly/Annual Fee Payment

  • For quarterly payments, refunds will be calculated on a pro-rata basis for unused months.
  • Annual fee payments may be eligible for refund for unused quarters, subject to administrative charges.
  • A processing fee of ₹1,000 will be deducted from all quarterly/annual refunds.

4. Transportation Fee Refund

  • Transportation fees are refundable with 15 days advance notice.
  • Refunds will be processed from the date of written notice submission.
  • No refund for transportation fees if notice is given after the 15th of any month.
  • Emergency circumstances may be considered on a case-by-case basis.

5. Activity and Development Fee Refund

  • Activity fees are generally non-refundable as they cover resources and materials already allocated.
  • Development fees are non-refundable as they contribute to infrastructure improvements.
  • Exceptions may be made in cases of medical emergencies or family relocation with proper documentation.

6. Circumstances for Fee Refund

6.1 Acceptable Reasons

  • Student's serious medical condition preventing attendance (medical certificate required)
  • Family relocation to another city/country (transfer documents required)
  • Death in immediate family (death certificate required)
  • Financial hardship due to unforeseen circumstances (documentation required)

6.2 Non-Acceptable Reasons

  • Dissatisfaction with academic performance
  • Disciplinary actions taken by the school
  • Change of mind without valid justification
  • Failure to submit required documents on time

7. Refund Process and Timeline

7.1 Application Process

  1. Submit written refund application to the school office
  2. Provide all necessary supporting documents
  3. Complete the fee refund form with required details
  4. Obtain clearance from all departments

7.2 Processing Timeline

  • Application review: 7-10 working days
  • Approval/rejection notification: 15 working days
  • Refund processing: 30-45 working days from approval
  • Bank transfer completion: 3-5 working days

8. Refund Method

  • Refunds will be processed through the same payment method used for the original transaction.
  • For cash payments, refunds will be made via bank transfer to the registered account.
  • Processing charges levied by banks/payment gateways will be deducted from the refund amount.
  • Refunds will only be made to the account holder who made the original payment.

10. Special Circumstances

10.1 Medical Emergency

In case of serious medical conditions requiring extended absence or withdrawal, the school may consider special refund arrangements upon submission of:

  • Medical certificate from a registered medical practitioner
  • Hospital records and treatment documentation
  • Written application from parents/guardians

10.2 Force Majeure

In cases of natural disasters, pandemics, or government-mandated closures, refund policies may be modified as per the circumstances and regulatory guidelines.

11. Appeals Process

  • Refund application rejections can be appealed within 30 days of notification.
  • Appeals should be submitted in writing with additional supporting evidence.
  • The school's management committee will review appeals within 15 working days.
  • The decision of the management committee shall be final and binding.
